Invite Teammates & Set Roles

Add colleagues to your company and give each the right level of access.

For recruiters & hiring managers
1

Why invite your team

WizzHire is built for your whole hiring team, not just one person. Inviting colleagues puts your jobs, candidates and conversation history in one shared place.

2

Invite a colleague

Sidebar → Team

In the sidebar, click Team and add colleagues in a few steps:

  • Click Invite Members
  • Enter the email addresses
  • Choose a role: it decides what the group can see and do.
  • Send the invite: each person gets an email with an access link. The invite is valid for 7 days.

You can invite up to 10 people at once, but they all get the same role, so send separate groups for different roles. An invite is valid for 7 days and must be accepted with the exact email address it was sent to. You cannot re-invite an address that already has a pending invite; instead use Resend on the Invites tab, which restarts the 7 day window.

Accepting an invite signs the person out everywhere: when someone accepts a company invite, all their other sessions end and they have to sign in again. It is deliberate, because their permissions just changed, but it surprises people, so warn them in advance.

Roles & access

Every member has a role that decides what they can do. WizzHire comes with nine built-in roles, and you can create and edit your own:

  • Owner: full access, including billing. It cannot be assigned by invite.
  • Administrator: everything an Owner can do, except managing billing, which they can view but not change.
  • Recruiter: creates and publishes jobs, reviews and rates applications. No billing or settings, and cannot invite or remove colleagues.
  • Hiring Manager: reviews and rates applications. Cannot create or publish jobs.
  • Viewer: read only. This is what people get if you do not pick a role.
  • Employee: self-service only: their own HR profile, leave and documents.
  • Line manager: their own profile and leave, plus the leave of the people who report to them.
  • HR admin: runs HR for everyone: records, leave, absence, documents and reviews. No hiring.
  • External collaborator: no company-wide access at all. Access is granted one job at a time.
Owner and External collaborator cannot be edited: both are protected, so the Edit button on their card is disabled. Every other role, built-in ones included, can be renamed and reshaped, and your own roles can be created from scratch.

Choose what a role can do

Team → Roles → Edit

Editing a role no longer means ticking boxes in a grid of resources and verbs. The editor asks a simpler question first: which parts of the product does this role work in? Each part is one switch.

  • Switch a part on: the role gets the everyday work of that part. Not the destructive or money-bearing bits, which stay for you to add.
  • Open a part: opening one shows what it grants, sentence by sentence, and changes nothing on its own.
  • Switch a part off: the role loses it, but the editor remembers your selection. Switching it back on restores what it had, not the defaults.
  • Sensitive parts are marked: Pay and sensitive data carries a Sensitive badge, because it opens salaries.

Open any part to trim it. Each line is a plain sentence about something the role may do, so you never have to work out what "job:publish" means:

Figure 4: One part opened, with the permissions it can grant.
Editing a role changes it for everyone who has it: roles are shared, not per person. Switching a part off on a role that already holds saved permissions there asks you to confirm first, and tells you how many people-facing grants you are about to revoke.

Good to know

  • Change roles anytime: update a member's role whenever you need in Settings → Team.
  • Removing a member: they lose access immediately, but their data (messages, notes) stays.
  • Custom roles depend on your plan: if yours does not include them, Create role and Edit are locked and the built-in roles stay as they are.
